KeyDocs is committed to best practices in relation to the management of information with relevant data protection and privacy laws, including but not limited to the Privacy Act 1988 in Australia. In the event of a data breach, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches Scheme or other applicable laws.

This privacy policy outlines how, why and when we collect your data, the types of data we collect, our data security practices and your rights.
If you are a registered KeyDocs customer, subscriber or simply just visiting our website, we advise you take the time to read through this privacy policy as it applies to you.

Please make note of the following:
  • KeyDocs acts as the “data controller” of your personal data, this means we determine how and why your data is processed.
  • If you are a registered customer of KeyDocs, more personalised privacy information can be found in your contract. This includes the Data Processing Agreement, which is available upon request at support@keydocs.io.
  • If you provide us with personal information about other people, we will only use that information for its intended purpose. By submitting the information, you confirm that you have the right to authorise us to process it on your behalf in accordance with this Privacy Policy.

If you wish to access your data, please contact us in writing.  KeyDocs will not charge any fee for any access request but may charge an administrative fee for providing a copy of your data. We may require identification from you before releasing the requested data.

You can object to us using your data for profiling or making assumptions about you. We may use your data to determine whether we should let you know information that might be relevant to you (for example, tailoring emails to you based on your behaviour). Otherwise, the only circumstances in which we will do this is to provide the KeyDocs service to you

We will give you a copy of your data in CSV or JSON format so that you can provide it to another service. If you ask us and it is technically possible, we will directly transfer the data to the other service for you. However, we will not fulfil these requests if they require disclosing information about another individual without the appropriate rights.

How secure is the data we collect?

We have physical, electronic, and managerial procedures to safeguard and secure the information we collect.  For any Personally Identifiable Information, we utilize standard SSL traffic, as well as hashing and encryption algorithms.

And please remember:

  • You are responsible of your username and password: keep them secret and safe!
  • You provide data at your own risk: unfortunately, no data transmission is guaranteed to be 100% secure

Where do we store the data?

The data we collect is primarily stored within Australia.

By submitting your data, you agree to this transfer, storing or processing by us. If we transfer or store your information outside your jurisdiction, we will take steps to ensure that your privacy rights continue to be protected as outlined in this Privacy Policy.

How long do we store your data?

We will keep your personal identifiable information:

  • until we no longer have a valid reason forkeeping it;
  • until you request us to stop using it; or
  • for as long as required by law, e.g., we keep invoice information for 7 years to fulfill our tax obligations.

Third parties who process your data

IT businesses often use third parties to help them host their application, communicate with customers, power their emails etc. We partner with third parties who we believe are the best in their field at what they do.

When we do this, sometimes it is necessary for us to share your data with them, so these services work as intended. Your data is shared only when strictly necessary and according to the safeguards and practices detailed in this Privacy Policy. Where personal data is transferred to a third party, we take steps to ensure we agree the standard contractual clauses with them. We continually monitor this transfer mechanism.
